Start with the work that keeps coming back
Look for a task that is clear enough to describe and common enough to notice. It might be sorting an enquiry, preparing a recurring update, turning meeting notes into follow-up, or finding an answer in a folder of internal documents.
Write down the current path in plain language. What starts the work? What information is needed? Who decides what good looks like? Where does the work wait? These questions expose the real shape of the problem before software gets involved.
Give the workflow a clear owner
A useful AI workflow has a person responsible for the result. That person does not need to do every step, but they do need to know what the tool is allowed to do, what it must not see, and what needs a careful review.
That simple ownership prevents the empty-chair problem. Nobody assumes the tool is in charge, and nobody assumes somebody else checked the output.
Test the handoff, not just the prompt
A good demonstration is not the same as a useful process. Test the full handoff with ordinary examples. Check whether the right information arrives, whether the output is easy to review, and whether the next person knows what to do.
If the workflow creates more checking than it removes, change the workflow. If it makes the task easier to understand and easier to complete, keep learning from it.
